We’ll refer to these terms and conditions as “Terms.” The full Terms are laid out, please ensure that you read the entire thing before agreeing to provide your photography services.
We hold the expectation that photographers conduct themselves in a highly professional manner, demonstrating impartiality and fairness while capturing images of individuals, free from any form of discrimination.
By participating in Beltline Cosplay events and/or photoshoots, you retain all ownership rights to your photographs or other content. However, you grant us permission to use the photograph as determined by us in an equal ownership arrangement. This means that both parties have the right to use the content.
Specifically, by participating, you grant us a worldwide, unrestricted, royalty-free, irrevocable, and sub-licensable right to:
(a) Publish, publicly display and perform, modify, edit, alter, and otherwise use the Content in whole or in part, without requiring further consent, review, or participation from you, for any purpose throughout the world, including commercial and promotional purposes. This includes the right to use the Content in any medium or format now existing or created in the future, such as print or recorded material, websites, and social media platforms.
(b) Use your name, commentary, and other information associated with the Content.
In this equal ownership arrangement, both parties have the right to utilize the content for their own purposes without needing further permission.
In order to establish clear guidelines and ensure transparency, it is our policy to enter into a verbal or other means, regarding payment or nonpayment prior to the commencement of any event. This agreement serves as a mutually understood arrangement between the involved parties, providing a framework for financial expectations and obligations. By initiating this process in advance, we aim to foster open communication and avoid any misunderstandings or disputes related to compensation.
Turn Around Time
Policy Statement: Event Photo Turnaround Time Requirement
Effective immediately, our organization, as event organizers, has implemented a policy regarding the expected turnaround time for event photos. In line with our commitment to providing efficient and timely services, we hereby establish a mandatory requirement for the delivery of event photos within a specified timeframe.
1. Turnaround Time: All event photos must be delivered to the event organizers within a timeframe of 7-10 days from the date of the event.
2. Scope: This policy applies to all photographers and photography services engaged by our organization for event coverage and photography related to our events.
3. Accountability: The responsibility for meeting the specified photo turnaround time lies with the photographers and photography service providers. It is their duty to ensure that all event photos are processed, edited, and delivered within the designated timeframe.
4. Communication: In the event of any unforeseen circumstances or delays that may affect the ability to meet the established deadline, the photographers or photography service providers must promptly communicate with the event organizers to provide updates and discuss potential solutions.
5. Exceptions: Exceptions to the event photo turnaround time requirement may be considered on a case-by-case basis, subject to approval from the relevant authority or designated personnel responsible for overseeing the implementation of this policy.
6. Continuous Improvement: We are committed to continually assessing and improving our event photography processes to optimize efficiency and reduce turnaround times whenever possible. Feedback and suggestions from photographers, photography service providers, and event organizers are highly encouraged and will be taken into consideration for future enhancements.
Non-compliance with this policy may result in various consequences, including but not limited to reputational damage, loss of future photography opportunities, and appropriate disciplinary actions in accordance with our organization's policies and procedures.
By adhering to this policy, we aim to provide event participants and stakeholders with timely access to event photos, enhancing their experience and satisfaction. Continuous adherence to the specified photo turnaround time will enable us to maintain a positive reputation as event organizers and ensure the efficient delivery of visual content to our stakeholders.
To ensure a smooth and organized workflow, we have implemented a cancellation policy for photographers. In the event that a photographer needs to cancel their services, we kindly request a minimum of 5 days' notice. Failure to provide such notice will result in a penalty fee of $50. This policy is in place to uphold our commitment to our clients and mitigate any inconvenience caused by last-minute cancellations. We appreciate your understanding and cooperation in adhering to this policy.
When we refer to “Beltline Cosplay” or “us” or “our” or “we” in these Terms & Conditions, we mean Beltline Cosplay, LLC and its parents, affiliates, subsidiaries, successors, sub-licensees and assigns.
To establish a mutual understanding and maintain the integrity of the photographic work, we have implemented a retouching policy for both parties involved. We recognize that retouching can enhance the visual appeal of photographs, and therefore, we allow retouching of images from both the photographer's and the client's perspective.
As the photographer, we will strive to deliver high-quality and professionally edited images that showcase the best possible representation of the subjects or events captured. We will exercise our expertise in retouching techniques to enhance the overall aesthetic appeal while maintaining the authenticity of the original content.
Similarly, we welcome clients to provide specific retouching requests or preferences for their selected images. We understand that individual preferences may vary, and we aim to accommodate these requests to the best of our abilities, ensuring client satisfaction.
It is important to note that any retouching requests should align with ethical guidelines and not compromise the integrity or misrepresent the subjects or events captured. We commit to maintaining a balance between enhancing the visual appeal and retaining the authenticity of the photographs.
